Ladok, courses and how to get credits

Ladok

In Ladok you have access to a special student interface where you can get an overview of your studies and also need to do certain tasks on your own. For example, you will need register there for your research project (your doctoral education) and for the doctoral courses at KI that you are taking. You can print out study and registration certificates and apply for degree certificates.

As a doctoral student you need to register for your research project in Ladok in the beginning of each semester (your research project = your doctoral education). The registration period is open from December 15th to January 31st for a spring semester, and from June 15th to August 31st for an autumn semester. Keep in mind these dates! You must register in Ladok each semester even if you are not active for that semester.

Courses and how to get credits

Before applying for dissertation at KI you need at least 30 credits reported in your Ladok. For a licentiate the credits required is 15. Depending on your admission date there is a specific General Syllabus you must follow were it states how you are to plan your credit giving activities (courses, seminars, conferences etc). Credits for courses and educational activities that a doctoral student wish to have reported in Ladok must have been stated in the individual study plan (ISP), the original one, or in updated /yearly follow-up version. 

Credits will be reported in Ladok based on the following:

* Courses taken at KI. 

Are automatically reported, after passing the course, by course giving department for doctoral students registered at KI.

* Courses taken outside KI = CREDIT TRANSFER

Apply for credit transfer using form 13 (below). See example of how to fill out the form below. 

  • Don't forget important certificates and the course syllabus.
  • If you print a certificate (Official transcript of records) from Ladok - make sure you tick the box for "Level within study regulation/Uppgifter om nivå inom studieordning" to show the study level of the course taken.
  • The course may not be included in the general eligibility that was valid at the time of your admission.
  • Mark on the form what you want the course to be counted as (bottom of form). The course must be listed under "Planned courses" in your ISP.
  • One separate application form 13 has to be filled out for every credit transfer. If you sign your application digitally by EduSign- also send the application as a Word file.

* Participation in seminar series or journal clubs, teaching, visit to research group, own presentation at an international congress = CREDIT REPORTING

Apply for credit reporting using form 16 (below), together with certificates. 

  • Certificates for seminars can be: LIME-specific certificates or other certificates issued from seminar or journal club organizer together with or only verified document from supervisor listing time span, intensity and name of seminars and likewise.
  • Certificates for teaching can be: verified document from supervisor listing time span, intensity and name of course and likewise.
  • Certificates for visiting research group at another university can be: verified document from supervisor listing time span, intensity and university name and/or location for visit.
  • Certificates for presenting at an international congress can be:  document and/or invitation from congress showing your name clearly on a time table or likewise, or verified document by supervisor with information about your particpation in that conference. There is a maximum of three congresses to be reported in your Ladok.
  • It is adviced to only use one form 16 even if you are applying for multiple activities listed above (seminars, journal clubs, teaching etc). Write them all on one form. See example of how to fill out the form below.

Send your application by e-mail to Ingrid Smedberg (ingrid.smedberg@ki.se) together with supporting certificates/documentation. Don´t forget signatures when needed. For the form 13: If you sign your application digitally by EduSign- also send the application as a Word file.

The departmental director of doctoral studies, Per Palmgren, or the deputy director of doctoral studies Stefano Bonacina, will decide whether the transfer of credits and/or reporting of credits may take place and inform you of taken decision. If you have questions about the decision, please contact the director (or deputy director) of doctoral studies directly.
