Grants Office provides support and advice related to external research funding. GO supports the entire project life cycle, from idea, application, negotiation, to project management, financial reporting, audits and close-outof projects.

What we do

Application Phase

We provide advice regarding Swedish and Nordic funders. We also handle internal prioritization processes required for certain calls from some of the Swedish funders.

Support when KI is the coordinator

If you are planning to be the coordinator for one of the calls within Horizon Europe Pillar II, we can support you with background information and call text analysis. During the application phase we can support you with feedback and advice on consortium building, proposal development, and work package structure. One and one meetings or meetings with your KI research team can be arranged. Budget advice for coordinator applications will be in collaboration with your department and GO post-award.

In collaboration with colleagues from EEO and CDO we can advise on specific questions related to ethics, gender aspects, open access, IP, and impact. 

Support when KI is a partner

When you are invited to be a partner in a consortium, your first step should be to contact your department to discuss the project and the budget, since partner projects are managed by the department. We can provide advice related to EU rules and regulations and specific questions such as ethics, data handling, and IP.

ERC grants are given to top researcher to implement a groundbreaking and ambitious research project. We provide guidance and support for ERC applications where KI is the host institution. 

MSCA is given to e.g. principal investigators within a consortium to train PhD students and staff exchange, and to individual researchers to pursue postdoctoral training. We provide guidance for researchers interested in the MSCA program and support where KI is the host institution.

We support, advise, and submit (if mandatory) proposals in the application phase. When possible, we work to create new funding opportunities for researchers via partnerships with funders. Furthermore, we monitor international research and innovation policy - with a focus on external research funding.

On-Going Projects

GO post-award conducts start-up meetings when the EU-projects start and provides ongoing financial post-award support to the departments. 

For any financial inquiries related to your EU project, please contact the economist within your department.

We are a centralized function for reviewing all time sheets filled in by researchers/project members for EU-funded KI projects. This to ensure that time sheets are approved according to GA guidelines. 

Time sheet admin is responsible for annually distributing the time sheet template. 

We are also available for introductory tutorials in how to fill in time sheets.

GO post-award develops best practices, routines, and processes for managing EU-projects at KI. GO post-award is also responsible for coordinating EU audits and Certificates on Financial Statements (CFS).

All EU projects are reported through the EC Funding and Tenders portal . Prior to submission to the EU, all financial reports undergo a Quality Assurance (QA) review. This QA process is carried out by GO Post-Award team.

The GO post-award team provides introductory and advanced training courses and workshops on financial management, compliance, and regulatory alignment for EU-funded projects. These sessions are designed for staff responsible for financial reporting within KI departments, ensuring accuracy and adherence to EU requirements.

The MSCA post‑award team provides routines, templates and guidelines on MSCA post‑award compliance questions that arise during the project implementation, as well as training courses on post‑award compliance matters and financial reporting workshops. The MSCA post‑award team also provides support with Consortium Agreements, Secondment Agreements and EU audits.
