Before half-time control

The half-time review shall be carried out for every doctoral student who will be taking a doctoral degree, and should be carried out two years after admission or when the equivalent of two years of full-time doctoral education has been completed.

For information about half-time review and the notification form, see KI's web page. Please observe that the notification form should be submitted to the division’s representative in the doctoral studies committee.

Note! Please send details of your half-time control to the person responsible for the web on your division for listing the event on the KI and NVS Calendar. If there is no such person in your division, contact NVS Communication officer instead.  Title, date and time, as well as the names of the supervisors, the members of the examination board and the faculty opponent are needed for the publication on the web.

Before the defence or licentiate seminar

Reservation of date for thesis defense/licentiate seminar

Contact Heli Vänskä, doctoral studies coordinator at NVS, well in advance to make sure that your choice of date and time will not coincide with someone else's dissertation within the same area of research.

Signing of application

Contact Erik Sundström, director of doctoral studies, with cc to the coordinator of doctoral education at least 4 work days prior to the application deadline to the dissertation committee. 

With the e-mail to the director and the coordinator you should include:

  • The completed application form (without signatures)
  • LADOK - certificate of registration with study activity*
  • LADOK - transcript of records
  • Half-time protocol
  • Constituent papers
  • Ethical permits (application form, patient information, decision)

*You have to tick the boxes for ”Alla registreringar ordnade efter program” and ”Studieaktivitet och -finansiering” to print the study activity in % each semester.

After your application has been reviewed by the director of doctoral studies, it is e-mailed to you. Revise your application according to the instructions from the director, make a pdf-file of the application form ONLY, with the signatures/e-signatures of you and your supervisors. Send this pdf-file of the revised application form to the director and the coordinator. After it has been signed by the director and the head of the department it will be sent back to you by the Head of department coordinator. You then take the signed application form, add the necessary attachments, and create part 1 and part 2 of your application, which is then up-loaded to the dissertation committee.

Practical arrangements

When your thesis is printed you should deliver a copy in person to head of the department. Contact the Head of department coordinator. To book a time for this meeting.

For reservations of venue and other practical arrangements for the examination day, contact the division administrator to find out what routines apply to your division.

Announcement

Send information about your dissertation to the person responsible for the web on your division for listing the event on the KI and NVS Calendar 5 - 7 weeks before the dissertation. If there is no such person on your division, contact NVS Communication officer.
