Before making research infrastructure available to external users

On this page, we have compiled a checklist for both heads of department and core facility managers with information on what needs to be done before making research infrastructure available to external users.

Checklist for heads of department and core facility managers

The core facilities (research infrastructure) whose services and goods are listed further down the page meet the following criteria:

  • The core facility is wholly or partly under the university’s control.
  • The university has established and documented criteria for access to the core facility.
  • The core facility is provided within the framework of the university’s responsibilities.

What you need to do

  1. Create a list of the core facilities and associated services or godds that the department wishes to make available:
    1. Name of core facility:
      1. service or product:
        1. _________________
        2. _________________
        3. _________________
    2. Name of core facility:
      1. service or product:
        1. _________________
        2. _________________
        3. _________________
  2. Conditions for using the core facility
    1. The purpose of using the core facility must fall within the university's responsibilities and align with KI's core values.
    2. KI’s core facilities may be made available provided that the external user holds the necessary permits and that usage complies with applicable regulations.
    3. The head of department must consider any potential security risks associated with making the core facility available.
    4. For certain core facilities, users may be required to complete training or have assistance from staff with relevant expertise when using the service. The head of department is responsible for ensuring that users have the necessary training or that staff provide assistance.
    5. For each order from an external party (provision), a contract must be signed.
  3. The head of department is responsible for having a process for calculating fees to ensure full cost recovery and for deciding the fee amount. A market survey must be conducted in accordance with instructions decided by the chair of the Infrastructure Board. The head of department must ensure these instructions are applied.
  4. Principles for prioritising external use apply when access is limited. In such cases, research or development work conducted by external actors should be prioritised as follows:
    1. Swedish government agencies
    2. Academic institutions
    3. Swedish regions and municipalities, as well as other legal entities (e.g., foundations and companies)
  5. The head of department is responsible for appointing a contact person for each core facility and notifying the chair of the Infrastructure Board. This information must be included in the list of KI’s research infrastructures for external users.
