CRKI FAQs

📝 Registration & Attendance

The Cancer Research KI PI Retreat is open only to PIs leading research groups/teams within cancer research at Karolinska Institutet.

Registration is by invitation only. You should have received an invitation email from Cancer Research KI with detailed instructions on how to register for the PI Retreat.

If you have not received this email, or if you are not currently on our PI list but believe you meet the criteria to be considered a PI, please contact us at cancerresearchki@ki.se and we will assist you.

The attendance fee is 1900 SEK (excluding VAT).

This fee includes:

  • Accommodation
  • All meals during the retreat
  • Round-trip bus transport between Stockholm Cityterminalen and SĂĄnga Säby

The remaining costs are subsidized by Cancer Research KI.

The fee includes transportation between Cityterminalen (Stockholm) and Sånga Säby at the beginning and end of the retreat, as well as all meals and accommodation.

When you reach the billing section at the end of the registration process, select “public authority/state agency” if the invoice is to be sent to Karolinska Institutet.

You must also enter a reference code in the format: ZZXXXXXX.

This code always begins with ZZ, followed by your institution code and user ID, and may include both letters and numbers.

If you experience any issues with registration, please contact the conference administration office at CRKI-PI-retreat2026@akademikonferens.se.

You should have received a registration confirmation email from Invajo. If you can't find the confirmation email and are unsure whether your registration was successful, feel free to contact us at cancerresearchki@ki.se, and we will be happy to confirm your registration status.

To cancel your registration, please send a written notice to CRKI-PI-retreat2026@akademikonferens.se.

For unpaid registrations, a SEK 750 cancellation fee applies.

  • Cancellations made by 24 November 2025: The total amount will be refunded except for the cancellation fee, SEK 750.
  • Cancellations made after 24 November 2025: No refunds will be issued.
  • Cancellation of separate activities or meals: Not refundable.
  • Cancellations made after 9 February 2026: Without prior information, any cancellation by this date or later will be charged SEK 4700 (full cost of participation).

The full charge of SEK 4700 will also apply in the following cases:

  • If a requested accommodation is not used, or cancelled, later than 9 February.
  • Lack of attendance at the Retreat in spite of prior registration (i.e., "no-show")

 

Change of Name

Should you be unable to attend, you will be given the opportunity to send someone in your place at no extra cost. If this should be the case, please contact the conference administration office, Academic Conferences at CRKI-PI-retreat2026@akademikonferens.se and and Cancer Research KI at cancerresearchki@ki.se with the following information: 

  • Your name
  • The name of your replacement
  • The person who will be replacing you in CC

Cancellations must be submitted in writing to CRKI-PI-retreat2026@akademikonferens.se.

đź“„ Abstract Submission & Presentation

Yes, abstract submission is mandatory for all participants in the PI Retreat.

During the registration process — and in the registration confirmation email — you should have received information on how to submit your abstract via the abstract submission form. If you cannot find this information, please contact us at cancerresearchki@ki.se, and we will be happy to assist you.

Please make sure to submit the correct version of your abstract using the abstract submission form.

If you need to make changes to your abstract, please email the updated version to cancerresearchki@ki.se. Double-check that the revised version is final, as multiple changes will not be accepted.

Select â€śYes” in response to “Would you like your abstract to be considered for a short oral presentation?” in the registration and abstract submission forms.

Participants selected for oral presentations will be contacted by email after the abstract submission deadline.

Please note: After November 17 (the abstract submission deadline), it will no longer be possible to be considered for an oral presentation.

Select â€śYes” in response to “Would you like your abstract to be considered for a an elevator pitch?” in the registration and abstract submission forms.

Participants selected for presenting an elevator pitch will be contacted by email after the abstract submission deadline.

Please note: After November 17 (the abstract submission deadline), it will no longer be possible to be considered for an elevator pitch.

📚 Program & Sessions

The preliminary program for the PI Retreat will be published online closer to the Retreat. Please check back later for updates.

🚌 Transportation

Yes, the registration fee includes bus transport to and from Sånga Säby at the beginning (Monday morning) and end (Tuesday afternoon) of the retreat for all participants who need it.
