On this page, you will find answers to the most common questions we receive about the Cancer Research KI Annual Retreat at Djurönäset.

CRKI FAQs

Registration & Attendance

The retreat is open to cancer researchers and clinicians affiliated with Karolinska Institutet and Karolinska University Hospital. Please register using your official work email address. Registrations submitted with a non-official email will be automatically canceled.

You can register here. Please note that spots are limited and will be assigned on a first-come, first-served basis. Register now to secure your spot at Cancer Research KI's most popular event!

The attendance fee is 1,200 SEK (excluding VAT).

This fee includes:

  • Accommodation (shared rooms for students)
  • All meals during the retreat
  • Round-trip bus transport between Stockholm Cityterminalen and Djurönäset

The remaining costs are subsidized by the FoTO PhD program for PhD students and by Cancer Research KI for all other attendees.

The fee includes transportation between Cityterminalen (Stockholm) and Djurönäset at the beginning and end of the retreat, as well as all meals and accommodation.

Please note: Students will be accommodated in shared double rooms. If you wish to share a room with a specific person, you can indicate this during registration.

When you reach the billing section at the end of the registration process, select “public authority/state agency” if the invoice is to be sent to Karolinska Institutet.

You must also enter a reference code in the format: ZZXXXXXX.

This code always begins with ZZ, followed by your institution code and user ID, and may include both letters and numbers.

To cancel your registration, please send a written notice to CRKIretreat2026@akademikonferens.se

  • For unpaid registrations, a SEK 250 cancellation fee applies.
  • You may send someone in your place at no extra cost. To do so, email the conference administration office with the following details:

Please note that a stricter cancellation policy applies. Be sure to read it carefully before proceeding. You can find the full cancellation policy on our website.

Unfortunately, no. Due to fire safety regulations, we cannot exceed the maximum capacity of the room, even for individual sessions.

After being offered a spot at the Retreat by Cancer Research KI, you will receive a second email from the registration platform Invajo with instructions to complete your registration.

Important: You must complete this step in order to be officially admitted to the Retreat. If you do not complete your registration by the deadline stated in the email, your spot will be offered to the next person on the waiting list.

Abstract Submission & Presentation

Anyone who has registered for the Retreat may submit an abstract and is strongly encouraged to do so. The abstract submission deadline is May 31, 2026.

Please note that participants who are currently on the waiting list are not eligible to submit an abstract.

Upon completing your registration, you will receive a confirmation email with detailed instructions on how to submit your abstract. If you cannot find the email, please check your spam folder.

If you are still unable to locate the information, please contact us at cancerresearchki@ki.se, and we will be happy to assist you.

No, you do not need to submit an abstract while on the waiting list.
If you are later offered a spot, we will provide instructions on how to submit an abstract, should you wish to do so.

Please note: Abstracts submitted after being offered a spot from the waiting list will not be considered for oral presentations.

Once you complete your registration, you will receive a confirmation email with instructions on how to submit your abstract. If you haven’t received the confirmation email, please check your spam folder.

Please note: Participants admitted from the waiting list will only be offered the opportunity to present a poster.

The abstract submission deadline for these participants is August 31, 2026.

Please make sure to submit the correct version of your abstract using the abstract submission form.

If you need to make changes to your abstract, please use the link included in the confirmation email you received after submitting your abstract.

Note: Changes submitted after 31 August 2026 will only be reflected in the digital version of the booklet, as the printed version will already be in production.

Under the Presentation Format section of the abstract submission form, please select Oral Presentation from the dropdown menu. If you are willing to present a poster in case you are not selected for an oral presentation slot, please select Either from the dropdown menu.

Participants selected for oral presentations will be contacted by email in late June.

Please note: After May 31 (the abstract submission deadline), it will no longer be possible to be considered for an oral presentation. If you are admitted from the waiting list after this date, you will be offered the opportunity to present your work as a poster.

Under the Presentation Format section of the abstract submission form, please select Poster only from the dropdown menu.

When submitting your abstract, you can choose from the following presentation formats:

  • Oral presentation: Select this option if you would like your abstract to be considered only for a short oral presentation during the main program.
  • Poster only: Select this option if you prefer to present only a poster at the retreat.
  • Either: Select this option if you would like your abstract to be considered for a short oral presentation during the main program and are willing to present a poster if you are not selected for an oral presentation slot.

The digital version of the abstract booklet will be available here at the beginning of September.

Transportation

Yes, the registration fee includes bus transport to and from Djurönäset at the beginning (Monday morning) and end (Tuesday afternoon) of the retreat for all participants who need it.

  • Departure from Stockholm: Monday at 08:30 sharp from Cityterminalen 
    Please check the monitors at Cityterminalen for the gate number. The bus will be listed as "KI to Djurönäset"

 

  • Departure from Djurönäset:
    Tuesday at 16:00

It usually takes around one hour by bus, but this depends on the traffic.
