The admission process is described on KI´s web page.

Establishment of doctoral position and green light at NVS

Mandatory attachments at NVS, except those which are mentioned on the form "Establishment of doctoral position" are:

1. A copy of the document certifying that the main supervisor has passed KI´s course on research supervision (or a motivation for exception) + certificate of completion of KI web course (not older than 5 years).

2. Financing plan, signed by everyone involved in the financing of the doctoral student, including the head of the division.

Note that the review of an application for establishment of a doctoral position takes at least 2 weeks, because the research plan and the finances are studied on both department- and division level. All applications are handed in to The coordinator of doctoral education in original.

To apply for green light for KID-funding

You apply by handing in the green light form (the original), which must be signed by the applying supervisor and the head of the division (no attachments are needed). Under "Available financial resources planned to be used to finance a new doctoral student" you state which funds that are available for covering the total salary cost/year (including possibly obtained KID-funding). The doctoral student's planned activity in percent (full time or percentage of part time) should be specified under "Other relevant information" as well as a description of the funding (percentage/sourse).

If you are granted the KID-funding you must apply for establishment of doctoral position.

To apply for green light supported by external scholarships

The documents below should be handed in in original. If you/the doctoral student are granted the funding you must apply for establishment of doctoral position.

1. The form Application for green light, signed by the applying supervisor and the head of the division. Under "Available financial resources planned to be used to finance a new doctoral student" you state which funds that are available for covering the total salary cost/year (including possibly obtained external scholarship). The doctoral student's planned activity in percent (full time or percentage of part time) should be specified under "Other relevant information" as well as a description of the funding (percentage/sourse).

2. Research plan including background, research questions, methods, planned studies and significance, a preliminary time plan and a description of the research environment (about 5 pages).

3. All intended supervisors' curriculum vitae, including previous and ongoing supervision (maximum of 2 pages/supervisor).

4. A copy of the document certifying that the main supervisor has passed KI´s course on research supervision (or a motivation for exception) + certificate of completion of KI web course (not older than 5 years).

Note that the review of an application for green light supported by external scholarships takes at least 2 weeks, because the research plan and the finances are studied on both department- and division level.

All applications are handed in in original to The coordinator of doctoral education (single-sided copied).

Admission decision

After an approved establishment of doctoral position and a completed recruitment process the form "Decision of admission to doctoral education" with mandatory attachments is sent in original to Catarina Cleveson. A copy of the document certifying that the main supervisor has passed KI's course on research supervision (or a motivation for exception) + certificate of completion of KI web course (not older than 5 years) were handed in when applying for establishment of doctoral position. These certificates don't need to be handed in again.

Note! We need a copy of the applying doctoral student's passport of a valid Swedish identification card. The copy must be verified and signed by the main supervisor.

Normally the start date for the doctoral student's studies is the same as the date of the head of department's decision. If a later start date is preferred information about this agreed start date must be attached to the application.

ISP and ISP seminar

Within one month from the start of studies a draft of the individual studyplan (ISP) should be registered and forwarded in the digital ISP-system (eISP). Information about the eISP-system and a user guide are found on KI's web page. Note that the main supervisor must start the study plan in the system. The one who starts the plan automatically becomes the main supervisor in the system and this cannot be undone. It is important that the doctoral student and the main supervisor inform about any considerable changes that have been made to the project plan since the decision of establishment of a doctoral position, and what changes that have been made. Use the message log in the system for this type of information.

When the ISP has been reviewed and is considered complete, the coordinator of doctoral education sends an e-mail to the doctoral student and the main supervisor (with a copy to the involved FoUK-representatives and the division administrator) that an ISP-seminar should be planned for and arranged. The ISP will also be sent back to the doctoral student in the eISP-system so that he/she after the seminar can make any adjustments, fill out the date of the seminar and upload the signed form "Agreement of the co-supervisor" in the system. Note that the signed form (the original) "Agreement of the co-supervisor" must be sent/handed in to Catarina Cleveson for registration and filing.

The main supervisor is responsible for arranging an ISP-seminar at the division. The division's FoUK-representative must attend (an invitation should be sent out at least two weeks before the seminar), and if possible, also the second FoUK-representative involved in the admission process (Catarina Cleveson will inform you who this FoUK-representative is). The seminar is to be held in English and should be open for at least all members of the division. For further information on how your division is arranging the seminars, contact your division´s FoUK-representative.

An ISP-seminar:

- The FoUK-representative starts the seminar by giving a short presentation about KI, NVS and the division (with a Powerpoint presentation from Catarina Cleveson).

- Supervisors and the doctoral student present themselves (with focus on the doctoral student's presentation).

- A presentation of the research project and an overall view of the first year plan.

- Through discussion the FoUK-representatives and the seminar participants may contribute with good advice, for the main supervisor and the doctoral student to consider after the seminar.

According to KI's instructions no actual critical review of the research plan should be made during the seminar, because such a critical review was made before establishment of the doctoral position.

After the ISP seminar:

- The main supervisor and the doctoral student make sure that the individual study plan is filled out completely and that all mandatory attachments are uploaded in the system (including the signed form "Agreement of the co-supervisor"). If any considerable changes have been made to the project plan you must inform us which these changes are. Use the message log in the system. Don't forget to fill in the date of the conducted ISP seminar.

- The student and the main supervisor forward the ISP in the eISP-system. All doctoral students are to have their ISP approved within three months of the commencement of studies.

- The signed form "Agreement of the co-supervisor" is sent or handed in in original to the coordinator of doctoral education (Catarina Cleveson).

- The doctoral student makes an appointment with the coordinator of doctoral education for an introductory meeting.
