Instructions on how to use document templates with or without macros.

You will find our templates on the page Templates on the Staff portal. Choose the template you wish to use.

Double-click on the file and choose to "Save file" on your computer (the file format is .dotm)

You will only need to download and save this file once!

The first time you use templates with macro

  1. Open the template you've saved to your computer.
  2. You may have to Enable editing of the document, since it might be in Protected view. To do so, simple click on Enable editing on the top right of the document.
  3. If a security warning appears in the message bar, choose to Enable content.

When a template with macros is opened for the first time on your computer, a dialog box will appear informing that a personal profile does not exist on the computer. When you click OK, you will be able to specify your profile settings.

  1. The first time you use a template you must create a user profile. The user profile contains information about you and is automatically inserted in the correct place in the template. The user profile is saved on your computer and is automatically used the next time you use a template with macros (letter, memo, report and fax). You can create several different profiles for different purposes. There is a list of departments/divisions in the user profile. Note that names of departments/divisions exist in both English and Swedish in the list and are in alphabetical order.

  1. Fill in relevant information for the document you are about to write. You can for instance select colour of the logotype and document language. Different document types have different fields and options, i.e.the macro template may sometimes look a little different.

  1. When you click on OK in the dialogue box, the document is filled with your personal information and the various choices you have made when editing your profile. The cursor automatically moves to where you are to start writing
  2. Write your document and Save as where you normally save your documents.

NB! The template and the document that you just wrote are two different documents.

The next time you use templates with macros

  1. Open the template saved on your computer.
  2. Once again choose to Enable content. if you are urged to.
  3. Choose the profile you would like to use (if you have created several profiles).

Write your letter and "Save as" where you normally save your documents.

How to use templates without macros

You will find our templates on the page Templates on the Staff portal. Choose the template you wish to use.

Right-click on the template you wish to use and then click Save target/link as to save to your computer.

If you are using Mac

In order to save your file in Mac, press ctrl + click - download file/link to desktop. If you experience problems with the file, you should change the file extension to .ppt

Save personal settings

By creating a copy of the document template, it is possible to save address and telephone details in the header and footer.

This is how to proceed:

  1. Open the document template saved to your computer.
  2. Enter your address and telephone number in the header and footer.
  3. Select Save as in the File menu.
  4. Change the file format to document template.
  5. Choose relevant name and place for the template.
  6. Click OK.

Start writing in the document template

If a security warning appears, click on Disable macros.

The template contains a number of click-and-type-fields. Click on the field and fill in the correct information.

In order to enter the information in the header and/or footer, you need to double-click in the header or footer area you first. Note that if you choose not to enter any information under the Department, Division, First name, Postal address, Visiting address etc in the header and footer, you need to delete these fields, otherwise they will show in your document: <Department> <Division> <First name> <Postal address> <Visiting address> <City/town>

Next, double-click on <Heading> to fill in the heading, and then click on <text> to continue writing the text in the document.

Important! Remember that you must fill in the address and telephone number in the footer yourself. Double-click on the footer and then click on the respective fields.

Personal settings

When a template with macros is opened for the first time on your computer, a dialog box will appear informing that a personal profile does not exist on the computer. When you click OK, you will be able to specify your profile settings.

The profile can include the following information:

  • First name
  • Surname
  • E-mail
  • Telephone
  • Fax
  • City/town
  • Department
  • Division

The profile is saved to the computer (it is possible to have several different profiles, e.g. if several users use the same computer for writing documents or if you have several titles or work tasks within different areas).

Language support

The templates with macros are developed with built-in language support for English and Swedish. The document language is selected in the profile settings when the template is opened. This means that all the headings will be translated into the selected language.

The templates also follow the language that is used in Microsoft Office, i.e. if it is an English version of Word, the headings in the dialogue box itself are also translated into English.
