The University Director concludes about debit cards with Karolinska Institutet as payment authority. Debit cards can only be used in-service. Karolinska Institutet's debit cards are issued by Eurocard.
Conditions for debit cards
Company cards/Payment cards
Company cards with KI as payment authority shall be used to limited extent, usually one card per institution. The University Director concludes about these cards. The debit card company invoices KI. The card must be stored safely and its use is only allowed in service.
The card bearer has personal responsibility for all orders and purchases. The card will be retracted if used for personal purchases. All payments have to be clearly traceable in order to establish that payments are in accordance with KI's rules. More information can be found at Karolinska Institutet's Rules and guidelines.
Debit cards with personal payment authority
Invoices will be sent to the card holder's home address and will be handled between card holder and the card company directly.
The card bearer accounts the expenses for KI. All claims for expenses have to be clearly traceable in order to establish that payments are in accordance with KI's rules. The original receipts including VAT have to be enclosed. In case of international transactions a copy of the card company's invoice including the exchange rate has to be enclosed. Expenses with debit cards have to be claimed continuously, shortly after the expense has been made and in the same fiscal year. The card can be used for personal purchases.
When the employment is terminated, the card has to be cut in pieces and send, without further order, to the institution question who forwards it to the card company for termination.
